Custom reports for approvers is a feature that gives users named as approvers in a travel approval process access to travel data in Perk. It lets approvers view account-level statistics in Travel reporting and download a custom report scoped to the trips they've personally approved or declined, without needing to go through the finance team for every detail.
What custom reports for approvers are
The approver custom report is a reporting capability in Perk for users explicitly assigned as approvers in a travel approval process. It gives approvers two things: a view of the Travel reporting overview with full account-level statistics, and a custom report scoped to the trips they personally approved or declined.
Together, these help approvers understand travel patterns, evaluate their own approval decisions, and make more confident choices with the right context at hand.
Who can access the approver custom report
To use these reports, you must be explicitly named as an approver in at least one active travel approval policy. Every Perk role except guest can be assigned as an approver on an approval policy.
Being named as an approver is different from having a line manager role. If an approval process uses dynamic line manager assignment rather than named individuals, those line managers do not get access to custom reports. Access is granted only to users who are listed by name as approvers in an approval policy.
Warning: If you're removed from all approval policies, you'll immediately lose access to Travel reporting.
What you can see in Travel reporting
As an approver, you can access two tools in Travel reporting:
- Travel reporting overview: Overview with full account-level statistics, the same account-level statistics available to admins. For an overview of what the Travel reporting page shows, see Explore Travel reporting.
- Custom reports: Access data specific to the trips you’ve approved or declined. This is where you’ll find detailed information about your own approval activity.
What's included in the custom report
Custom reports are separate files tailored to approval tasks. They only show your activity, meaning trips handled by other approvers will not appear in your file.

The table below lists every field available in the approver custom report.

| Traveler last name | The traveler's family name as recorded on their Perk profile. |
| Traveler email | The email address associated with the traveler's Perk account. |
| Trip ID | The unique identifier assigned to the trip in Perk. |
| Trip status | The current status of the trip (for example, approved, declined, or completed). |
| Trip created time | The date and time the trip was created in Perk. |
| Trip purpose | The reason for travel as entered by the traveler or booker when the trip was created. |
| Booking ID | The unique identifier assigned to an individual booking within the trip. |
| Booking status | The current status of the booking (for example, confirmed or canceled). |
| Service | The type of travel service booked (for example, flight, hotel, or rail). |
| Booking description | A short description of the booking, such as the route or property name. |
| Start date | The date the booking or trip begins. |
| End date | The date the booking or trip ends. |
| International / domestic | Whether the trip is classified as international or domestic travel. |
| Currency code | The three-letter ISO currency code for the currency in which the booking was priced. |
| Cost per traveler (original currency) | The cost of the booking per traveler in the currency it was originally priced in. |
| Cost per traveler (preferred currency) | The cost of the booking per traveler converted into the account's preferred currency. |
| Payment profile | The payment profile used to pay for the booking. |
| Payment method | The specific payment method used (for example, a virtual card or central card). |
| Company | The company entity associated with the booking. |
| Cost center | The cost center assigned to the booking, as set by the traveler or booker. |
| Booker | The name of the person who made the booking, which may differ from the traveler. |
| Approver | The name of the approver who reviewed the trip request. |
| Time to review | The amount of time taken between the approval request being made and a decision being given. |
| Request date | The date the trip was submitted for approval. |
| Approval date | The date the trip request was approved or declined. |
| Booking window | The number of days between the booking date and the travel start date. |
| Out of policy | Whether the booking was flagged as outside your company's travel policy. |
| Policy violations | The specific policy rules the booking breached, if any. |
| Request message | Any message the traveler included when submitting the trip for approval. |
| Label | Any labels applied to the booking for categorization or reporting purposes. |
| Event name | The name of the event or conference the trip is associated with, if applicable. |
Plan requirements
Custom reports for approvers are available on Premium and Pro plans and must be turned on for the account.
If you're assigned as an approver but can't see Travel reporting in Perk, check with your account admin to confirm the feature is enabled on your plan.
