Set up a travel approval process

This article helps you choose and set up the right type of travel approval process for your company. Use it when you're ready to create or change how trips get approved before booking.

There are two types of travel approval process:

  • No approval needed — Trips can be booked without approval; you can still send notifications when trips are booked.
  • Approval needed — Certain types of trips need approval before they are booked. You can use one-step or two-step approval rules (two people approve, in sequence or in parallel).

Tip: You can also set up a default approval process that applies at account level for all employees in the company who are not assigned to another process. To set one up, see Set up a default approval process for travel.

Before you start:

  • If there are no approval processes assigned to someone, no approval is needed to book trips or make changes.
  • If someone is assigned to multiple approval processes, the most restrictive process is applied (manually created, then automated, then default).

No approval needed

“No approval needed” processes allow travelers to book trips or make changes without approval. You can choose to have notifications sent when new trips are booked. See Set up a “no approval needed” process for travel.

Approval needed

“Approval needed” processes let you set approval rules for certain travelers and decide when approval is needed (e.g. out-of-policy only, specific cost objects). To set one up, see Set up an “approval needed” process for travel.

Only available for Pro accounts

If you need an extra level of approval, you can set up a second approver so that two people must approve before a trip is booked. For example, you can choose a sequential approval (i.e. first approver, then second) or parallel approval (i.e. both approve, any order).

However, bear in mind that more levels of approval means slower approval times; hence, selected trip options may sell out or increase in price. If you require this option, reach out to your Account Manager.
