Upload a Peppol e-invoice in Perk

Perk can process Peppol BIS Billing 3.0 e-invoices. To upload these e-invoices in Perk, you can:

When a Peppol e-invoice is received in the invoice inbox or uploaded in the web app, Perk checks whether the attachment is a valid XML file. Otherwise, it ignores the file and tries to create an invoice from the email body (if possible).

Note: The e-invoice must be a valid format. Perk does not currently validate the structure against the schema or specific requirement. Any invalid e-invoice files will be ignored or processed by Perk as a standard PDF file.

If the attachment is a valid Peppol BIS XML file, Perk uses this data to create the invoice.

If the supplier sends e-invoices via email, attaching both the PDF version and the XML version of the e-invoice, Perk can compares the PDF to the XML version to ensure that only one invoice is created for each e-invoice.

All imported Peppol BIS 3.0 e-invoices are displayed in the Invoice inbox with the status New and have the e-invoice invoice source.

In the Documents tab, you can view the original XML file, displayed with the Source document label. You can download the Source document, but you can’t remove it from the invoice.

From the extracted data, Perk generates a PDF to be used as the invoice preview using a standard invoice template. The template language is determined by the language set in the company settings. All invoice previews that are generated by Perk are marked at the bottom of the document with the text ”PDF auto-generated by Perk”.

If you move the invoice from where it was initially uploaded, the invoice preview is not re-generated. In other words, if the Peppol e-invoice was initially uploaded in a company where the language is German and then moved to the UK legal entity, the invoice preview PDF is displayed in German even though the invoice processor may have set their language to English.

Perk automatically matches the e-invoice with the corresponding supplier in Perk provided the tax ID has been set up in the Supplier settings and has been provided as part of the invoice data in CompanyID. If no tax ID has been provided, Perk can also use the IBAN included on the e-invoice.

E-invoices are processed in the same way as standard PDF invoices. In other words, you can match e-invoice line items against PO line items if required. Perk can flag e-invoices where the data fails to pass an invoice check.
