Set up a line manager approval workflow for expenses

A line manager approval workflow sends an expense to the submitter’s line manager for review. This workflow ensures that the employee’s direct supervisor validates the expense before it continues through the approval process.

Approving expenses by line managers

When an employee submits an expense, Perk identifies the line manager assigned to that person and routes the expense to them for approval. This provides a simple and intuitive approval chain that mirrors the organization’s reporting structure.

The workflow also supports escalation logic so approvals can continue smoothly in cases such as:

  • If the submitter is listed as their own line manager, the approval can escalate to the next manager in the hierarchy.
  • If the line manager role is unassigned or the manager is inactive, the workflow can automatically escalate to a fallback approver.
  • If additional layers of approval are required, the approval can move up the management chain.

These rules ensure the approval path always reaches someone with the proper authority.

Using a line manager workflow

This workflow is available as a template in the workflow designer. Select Line manage4r approval. You can adjust the settings or add additional steps in the flow, as required.
