An approval group workflow allows you to route an expense to a predefined group of approvers rather than a single person such as a line manager or cost object owner. This workflow is useful when approval responsibility is shared across a team, committee, or functional group.
With an approval group, you decide whether:
- All members of the group must approve the expense before it moves forward, or
- Any one member can approve on behalf of the group.
The workflow automatically identifies the correct group of approvers based on information in the person’s profile or another property on the expense, such as a checkbox or category tag. Once the group is assigned, the approval step controls how the group approves the document.
Approving expenses using an approval group
This workflow is helpful when:
- Approval must come from a team rather than an individual
- A department or project group collectively reviews certain types of spend
- A fallback group should receive approvals when a line manager or cost object can’t be used
- Your company has compliance rules requiring multi-person review
