Analyze invoice data

Financial reviewers, auditors, and account admins can perform this task.

In Analyze > Spend reporting, you can generate a custom download report with analytics on spending, obtaining expense breakdown by country, submitter, and more. You can create a report from scratch or use an existing template to extract data.

You can generate custom reports to analyze specific spend use cases.

Use case 1: Invoices exported to accounting

If you want to get an overview of all invoices that have been reviewed and exported to your finance system in the last three months, you can create a specific report in Perk.

To do this:

  1. In Selection of the date range, select the date range. In this example, you want focus on invoices issued in the last three month between 1 January 2024 and 31 March 2024, since there may be a difference between the date on which the invoice was issued and when it was fully processed.​
  2. In Application of filter criteria, refine our data by filtering the Status as Exported.
  3. In Define report structure, select your preferred Report currency and Report language. In this use case, the chart type is not important, as the primary goal is to create a comprehensive overview of exported invoices, which is ideally displayed in form of a table.
  4. Select the relevant data to identify invoices with the relevant supplier and amount. For this, drag the following fields into the Rows field:
    • Invoice number
    • Supplier name
    • Invoice date
    • Service date
    • Due date
    • Export date
  5. As you want to create a list of relevant data without analyzing it, leave the Columns field blank, and leave Values (aggregated) unchanged.
  6. Now, click Generate report to confirm your settings.
