Set up the travel manager role

To set up the travel manager role, you need to select or update their role on the platform. The travel manager role can be combined with other roles. Travel managers can act on behalf of everyone in the account or be restricted to specific people or companies.

Account admins, company admins, and people managers can perform this task.

For new people

  1. Go to the People page.
  2. Click Add people and select Invite with activation link.
  3. Enter the email address of the person you want to invite.
  4. Next to Roles and Permissions, click Edit, select Specialist roles, and then Travel manager. You can select multiple roles.
  5. At the bottom of the page, select the Role responsibility, all companies, selected companies, or people, and, if applicable, select the company or people they'll manage.
  6. Click Next.
  7. Next to Organization, click Edit and add all of their account settings, including company, travel policy, approval process, and cost objects. Then click Save.
  8. Decide if you want to add a custom message.
  9. Click Send invite.

Note: You need a Pro account to allow travel managers to manage all people in a specific company.

For existing people

  1. Go to the People page.
  2. Search for the person and click their name.
  3. In the Personal tab, under Access and permissions, click Edit.
  4. Under Roles and Permissions, select Specialist roles, and then Travel manager. You can select multiple roles.
  5. At the bottom of the page, select the Role responsibility, all companies, selected companies, or people, and, if applicable, select the company or people they'll manage. 
  6. Click Save.

Note: You need a Pro account to allow travel managers to manage all people in a specific company.
