To guarantee traceability, custom fields can’t be deleted. They can only be archived. This ensures that while the custom field may no longer be used to collect new information, the structure of existing information is respected and can be viewed in Travel and Spend reporting.
You can view all archived fields in the Archived tab, including the type of custom field and the companies where the custom field was used.
If you open the archived custom field, in the Responses section, you can see the values entered for all custom field types, and the people for each value in the case of user profile custom fields.
The table displays everyone who has a value for this custom field. Where the field value is —, it means the custom field previously had a value for that person and is now empty.
Archiving and unarchiving custom fields
To archive an unused custom field:
- Go to Settings > Cost management > Custom fields.
- Find the custom field you no longer need and click the three dots on the right.
- Select Archive.
To unarchive a custom field:
- Go to Settings > Cost management > Custom fields.
- Find the custom field you want to unarchive and click the three dots on the field.
- Select Unarchive.
