Review trip expenses

Financial reviewers can perform this task.

To make it easier for you to understand the context of submitted expenses, Perk lets you review expenses trip by trip. This way, you can check the total spend for a trip and approve all included expenses in a single action.

Depending on your company settings, you may see:

  • All trips that have been submitted and are approved by previous approvers.
  • Only trips that have been submitted and are approved by previous approvers, but include a warning.
  • No expenses if your company’s finance review strategy is set to Fully automated review in the company settings.

To review an expense report, you need to:

  1. Select a company and spend type.
  2. Review all expense reports.
  3. Finalize your review.

Select a company and spend type

Go to Finance > Review > Expenses and invoices. Depending on your role, you may have access to several companies. To view trips, select the Trips tab in the top right corner.

Note: If you do not see the Trips tab, check whether trips are enabled for your company.

If there are no trips to review, then a message is displayed.

Review a trip

When you review a trip, you can view the trip itinerary, and check each individual expense to see whether all information is correct and adjust if necessary.

As a financial reviewer, you can change: 

  • the dates of the trip
  • locations of the itinerary
  • add new or existing expenses to the trip. 

However, bear in mind that if you change any of the dates or locations, if the trip contains any automatically generated per diems or mileage expenses, these per diems and mileage expenses may be re-calculated taking into account the new dates or locations.

As a financial reviewer, you can change these fields depending on the expense type:

You can either review: 

  • each individual expense separately by clicking on the expense and then Send back if you find any issues like an standard expense report
  • send the entire trip back by clicking Send back (all) in the top right corner. 

The employee can then check all expenses associated with the trip, adjust any dates or locations as necessary and then re-submit the trip. Once re-submitted, the trip must be approved again before review.

If your Perk admin has configured your account to display tax information, you can review and adjust the tax rate and amount. The tax rate and amount are automatically extracted by Perk. Therefore, make sure to check them and correct if necessary.

If your company has been set up to allow posting dates other than the current date, then you can view and modify the posting date of an expense. The posting date determines in which period the transaction is posted to.

Finalize your review

After you’ve verified all expenses in the trip, you can mark all the expenses in the trip as ready for export by clicking Finish review (all).

Once trip expenses are ready for export, they are automatically moved from Finance > Review > Expenses and invoices to Finance > Review > Export.
