Manage a card transaction as a private expense paid with company card

Financial reviewers can perform this task.

A company card should never be used on private expenses, much less an expense report created for it. If it happens, though, Perk can help make sure it’s managed correctly.

If a transaction is the result of a personal expense paid using a company card, you can mark it as a private expense to ensure the proper booking process in your ERP system.

To do this:

  1. Go to Finance > Review > Card transactions, Card transactions tab.
  2. Find the transaction you want to mark as a private expense and open it.
  3. Select Mark as private expense
  4. Perk opens a new no receipt expense with the Private expense category. Click Submit to continue.
  5. The transaction reloads and its status changes to Matched.

Note: If the transaction has already been matched, you need to clear the match before proceeding. Then, select the transaction again and you will see various actions to choose from at the top.

Caution: Your account admin must have set up a specific expense category to process these transactions. Otherwise, you can’t mark it as private.

Now, you can export the transaction without requiring a matching expense report. 

Once exported, the transaction amount is paid into the card account to make up for the expense. How the amount is charged to the submitter is dependent on your policies and configuration; typically, the transaction amount is deducted from the employee account and is reflected accordingly in their paycheck.
