Do you use UBS company cards and want to manage these directly in Perk? Follow these steps to integrate your UBS card account in Perk.
Set up data transfer
To manage your corporate UBS cards in Perk, you need to set up a transfer of specific data points between your corporate UBS account and your Perk account.
Steps for integrating UBS Cards with Perk:
- Contact your UBS account manager.
- Sign a waiver for each legal entity confirming the secure data exchange between UBS and Perk.
- Reach out to your Implementation Manager or Perk Account Manager. Once the UBS Card Center has enabled the cards and cost centers for your legal entities, the card feeds have to be set up in Perk.
It may take a few days until the data transfer is set up.
Configure UBS cards
Once your corporate UBS cards are visible in Perk under Settings > Card settings > Company cards, you need to configure each card in Perk. You need to map each card to its cardholder and select the card type. Card mapping is not automatic.
To map a card to a user and select the card type:
- Go to Settings > Card settings > Company cards.
- Select a Company.
- For each UBS card, the card name, the last four digits, and the currency is automatically imported.
-
Type and select the corresponding person from the Cardholder dropdown list.
Note: In order to assign a cardholder, you must first add your employees to Perk.
- Select a card type. There are two options that trigger a different booking logic:
- Privately billed card: Select this option if the cardholder needs to initially pay for their expenses processed through this card privately and is reimbursed by your company afterwards.
- Company funded card: By not selecting the option Privately billed card, the card is configured as a company funded card. This means that the company’s UBS card account is directly charged for any payments made with this card and employees do not have to privately pay for their bills in advance.
- Click Save to save your changes and repeat this process for each card.
Note: To order new UBS cards for new employees and display them in Perk, reach out to your UBS account manager who will initiate the card ordering process for you. Your new cards will then automatically appear in Perk a few days later and no further waiver needs to be signed.
Assign UBS card admins in Perk
To manage UBS company cards, you should give at least one person access to the card management section (accessed via Finance > Card management).
To assign the card admin role:
- Go to the People page.
- Select the person you want to assign the role or add a new person.
- In Access and permissions, click Edit.
- Select Specialist roles (if not already selected).
- Select Card admin.
- Choose whether you want them to perform this task for all companies where UBS cards are integrated or for specific companies only.
- Click Save.
Caution: You can choose to assign the role for all companies or for specific companies only. However, if you choose all companies, they only have access to card information in companies where the UBS card integration has been previously set up. Otherwise, assigning the role has no effect, as there is no data to view.
Manage UBS account and card transactions
In Finance > Card management, you can view two sections:
- Company cards: View general information on the credit limit, currently available funds, the current account balance as well as all cards are visible. By clicking on a card, further information can be accessed such as the balance of this specific card, the card owner, and the card’s expiration date.
-
Transactions: View all transactions made with the UBS cards of the company, including their status in the system.
