Use the spend reporting overview

The spend reporting overview in Perk gives you a visual summary of your company's expense spend. Use this article to access the overview, apply filters, understand the figures it shows, and download a custom report. 

Alternatively, you can choose to set up a scheduled report to be delivered via email.

Financial reviewers and account admins can perform this task.

Accessing the spend reporting overview

Spend reporting in Perk is available from the main sidebar under Analyze > Spend reporting.

To open the overview:

  1. Sign in to your Perk account.
  2. In the left sidebar, select Analyze > Spend reporting.
  3. The spend reporting overview opens, showing your company's expense spend for the current period.

Filtering spend data

The spend reporting overview lets you narrow the data shown using the filters at the top of the page. The overview updates automatically when you change any filter.

The following filters are available:

  • Date range: Choose a preset period (such as this month or last month) or enter a custom start and end date.
  • Legal entity: Filter spend to one or more legal entities in your organization. This filter is available for multi-entity accounts.
  • Employee: Filter spend to one or more specific employees.
  • Cost object: Filter spend by cost object.
  • Category: Filter spend by expense category.

Understanding the spend overview

The spend reporting overview displays 4 KPI tiles at the top of the page, followed by 4 charts below.

Each KPI tile shows a headline figure for the selected period.

KPI tile What it shows
Total spend The total value of exported expenses in the selected period.
Average spend per employee The average spend across all employees who submitted at least one expense in the period.
Top cost object The cost object with the highest spend in the period.
Top category The expense category with the highest spend in the period.

The charts below the KPI tiles give you a more detailed breakdown:

  • Total spend trend: how your total spend has changed over the selected period.
  • Spend per cost object: how your cost object spend has changed over the selected period.
  • Spend per category: how spend broken down by expense category has changed over the selected period.
  • Spend per employee: how spend per employee has changed over the selected period.

Note: The spend reporting dashboard reflects expense data processed through Perk's data pipeline. There may be a short delay before the most recent transactions appear, so figures may not match real-time data.

Downloading a custom report

To export a tailored Excel or CSV file with your expense data, select Custom download at the top right of the spend reporting overview. This opens the report builder, where you can configure exactly what data to include before generating the file.

In the report builder, set up the following:

  1. Under Choose type, select the type of data to export—for example, expenses.
  2. Under Company, select the legal entity you want to report on.
  3. Optionally, under Selection of the template, choose a saved template to pre-fill your settings, or save your current configuration as a new template for future use.
  4. Under Selection of the date range, choose a date field (for example, Expense/payment date) and set a start and end date.
  5. Optionally, under Application of filter criteria, narrow the data by employee, cost object, status, current approver, or previously approved by.
  6. Under Define report structure, choose the chart type, report currency, and report language. Then select the data fields to include—such as Employee name, Company, Status, and Expense date—and drag them into the Rows, Columns, and Values areas to define the report layout.
  7. Select Generate report to preview the results, then download the file in your preferred format.

Tip: You can select Save as new template to reuse your configuration next time, or Update template to overwrite an existing one.
