Get a custom report by email

Use this article to generate a custom report from Travel reporting in Perk and get it by email as a temporary download link. The custom report lives on the Reports and schedules page, under the Generate report tab.

Only account admins and analysts can perform this task.

Get a custom report by email

Getting a custom report in Perk means choosing your filters and columns, then asking Perk to email the file to one or more recipients. Perk generates the report in the background and sends each recipient an email with a download link.

  1. Go to Analyze > Travel reporting > Reports and schedules, and open the Generate report tab.
  2. Apply the filters you want, such as date range, service type, cost object, or trip status.
  3. Select the columns you want to include from the available static and dynamic columns.
  4. Select Get report.
  5. In the Get report modal, choose a file type in the Format field: CSV or Excel.
  6. In the Recipients field, add the active users on your account who should get the report.
  7. Select Get.

The modal tells you, "We'll generate this report and email it to the recipients below as soon as possible." Each recipient gets one email with a link to the file. To change the view, run the custom report again with a new selection. To reuse a setup you run often, see Save and reuse custom report templates.

Note: Perk emails the report as a temporary download link, not as an attachment. Recipients need to be signed in to Perk on the correct account to open the link.

Open the report from the email

The email from Perk for a custom report contains a temporary link to the file. Recipients don't need reporting permissions to open it, but they do need to be signed in to Perk on the correct account.

  1. Open the email about your custom report.
  2. Select the download link in the email.
  3. Wait for the Download report page to open. The page says "Your file is ready" and starts the download automatically.
  4. If the download doesn't start, select Download file.

Caution: The link and the file expire after 7 days. Perk can't regenerate an expired file from the link, so download the report before then.

If the link has expired

An expired Perk report link opens a page that says "This report has expired or does not exist." The page explains that download links are only valid for a limited time.

  1. Open the expired link.
  2. Select Generate new report.
  3. Wait for the new email with a fresh link, and then follow the steps in Open the report from the email.
