Schedule a spend report

You can set up automated email delivery of your spend data at a chosen cadence. Use this article to create a scheduled report, choose delivery settings, and manage or cancel an existing schedule.

Financial reviewers and account admins can schedule spend reports.

Setting up a scheduled report

The Schedule report option is built into the spend reporting dashboard and is powered by Looker. When you set up a schedule, Perk sends the report to the email addresses you choose at the frequency you set.

To set up a scheduled report:

  1. Go to Analyze > Spend reporting in the left sidebar.
  2. In the spend reporting overview, select Schedule report from the dashboard actions.
  3. Enter a name for the scheduled report so you can identify it later.
  4. Enter the email addresses you want to deliver the report to.
  5. Select Save to activate the schedule.

Note: You can add multiple email addresses to a single schedule. Separate each address with a comma.

Choosing delivery format and frequency

When setting up a scheduled report, you choose how and how often the report is delivered.

Delivery format

Select one of the following formats for your report attachment:

  • CSV: a comma-separated file containing the raw expense data. Use this format if you want to work with the data in a spreadsheet tool.
  • PDF: a formatted document showing the dashboard. Use this format if you want to share a visual snapshot with stakeholders.

Delivery frequency

Set how often Perk sends the report:

  • Daily: sends the report each day.
  • Weekly: sends the report once a week on the day you choose.
  • Monthly: sends the report once a month on the date you choose.

Note: Scheduled reports reflect expense data processed through Perk's data pipeline at the time of delivery. There may be a short delay before the most recent transactions appear in the report.

Managing or cancelling a scheduled report

You can view, edit, or cancel a scheduled report at any time from the spend reporting dashboard.

To manage a scheduled report:

  1. Go to Analyze > Spend reporting in the left sidebar.
  2. Select Schedule report from the dashboard actions.
  3. Find the scheduled report you want to manage in the list of active schedules.
  4. Select the report to open its settings, then make your changes and select Save — or select Delete to cancel the schedule.

Caution: Canceling a schedule stops future deliveries immediately. Reports already sent are not affected.
