How Team insights works

Only available for Premium and Pro accounts.

Team insights is a reporting page in Perk that gives line managers and cost object owners direct visibility into their team's travel spend. 

Note: It’s currently available to a limited number of accounts as part of an early release. To request access, contact your account manager.

Accessing Team insights

When you’re eligible, you’ll find Team Insights in the left-hand navigation. Access depends on your role: you must either be a line manager, meaning at least one active user in Perk has you set as their manager, or a cost object owner, meaning you are set as an approver on at least one cost object.

Note: Team insights is only available to accounts with travel management. It doesn't appear for accounts that only use spend management.

If you don’t see it, make sure your organization is on a Premium plan or higher and that your role is correctly assigned in Perk.

Note: If you're an account admin as well as a line manager or cost object owner, you can access both Team insights and the Reporting section in Perk. The Reporting section gives account admins company-wide visibility across the entire organization; Team insights shows data scoped to your own team only.

Understanding your data scope

It shows travel data scoped to your team, based on your role in Perk.

  • Line managers see data for their direct reports.
  • Cost object owners see data for people who have made bookings against their cost objects within the selected date period.
  • If you're both a line manager and a cost object owner, you see the combined data for both scopes.

Note: This report covers travel spend only. Expense data is not included in this release.

Team insights only includes your direct reports and does not extend to any teams they manage. If someone you manage is also a manager, their team will not appear in your view.

It is designed with privacy in mind, so you only see data for people who directly report to you or who have booked travel against a cost object you own. This means there is no visibility into peer teams, other departments, or anyone outside your direct scope.

Note: Team insights shows actual spend incurred, not net spend after refunds. This differs intentionally from some other reporting views in Perk. 

Using the Overview tab

The Overview tab in Team insights gives you a top-level summary of your team's travel activity for the selected date period.

At the top is the Needs action card, which shows any approvals or trip actions currently waiting for your review. Pending approvals and trip actions are counted separately. Select View all to go to the Trips page and act on them. If nothing is pending, the card shows All caught up.

The Needs action card isn’t affected by the date or cost object filter. It always shows all pending approvals and trip actions, regardless of the selected date range or cost object.

Below that, three summary cards cover the selected date period:

  • Total team spend: the combined travel spend for everyone in your scope, excluding canceled bookings.
  • Top spender: the person with the highest travel spend.
  • Out-of-policy %: the percentage of trips made outside your organization's travel policy. Any booking made out of policy within a trip will make the trip count as out of policy.

These cards update when you change the date or cost object filter.

Below the summary cards, the Spend trend chart shows how your team’s total travel spend has changed over the selected period. Use it to identify patterns, peaks, or unexpected changes in spend over time.

Using the People tab

The People tab in Team insights shows a table of everyone within your reporting scope, along with summary spend data for each person.

Who appears in the table depends on your role:

  • Line managers see all their direct reports, regardless of whether they have travel spend in the selected period.
  • Cost object owners see people who have booked travel against their cost object in the selected date period. People with no bookings against it in that period aren't shown.
  • If you're both a line manager and a cost object owner, you see the combined set of people from both scopes.

Filtering by date and cost object

The date filter and cost object filter in Team insights apply across the entire page, including both the Overview tab and the People tab. The date filter uses the expense date, meaning the date payment was taken for each booking.

Use the date filter to select the period you want to review. All data on the page updates to reflect the selected range.

If you own more than one cost object, use the cost object filter to scope all data to a specific one. This also affects who appears in the People tab, where only people with bookings against that cost object in the selected period will be shown.
