Download hotel invoice PDFs in bulk

The Invoice Collection Report lets you download collected hotel invoice PDFs as a ZIP file, so you don't have to save them one by one from the report. Use this article to filter your invoices and start a bulk download.

Role: Account admins, company admins, and analysts can perform this task.

Downloading hotel invoices in bulk

The bulk download feature is available in the Invoice Collection Report. Apply filters first to narrow your selection, then start the download.

  1. Go to Reporting > Invoice Collection Report.
  2. Use the period filter and any other available filters to select the invoices you want to download. For example, use the Company or Cost object filters to generate separate downloads for a specific company or cost centre.
  3. Scroll down to the bottom of the page. Here, you find the Invoice Download section.
  4. Click the Download Invoices ZIP button.

What to expect after downloading

What happens after you click the Download Invoices ZIP button depends on how many invoices are in your selection.

  • Small sets: The ZIP file downloads directly to your browser.
  • Large sets: Perk generates the ZIP asynchronously in the background. You'll see an "Email sent" confirmation, and we'll email you a link to download the file.
Note: You can download up to 2,000 invoices per job. If your selection exceeds this limit, narrow your filters and run separate downloads to avoid exceeding the limit.
Caution: If you receive an email link, it's valid for 21 days. Download your ZIP before it expires — we don't resend links automatically.
Tip: Check your spam folder if the email doesn't arrive within a few minutes.

Contents of the ZIP file

The ZIP contains:

  • A CSV file with the list of hotel invoices included in the download.
  • The hotel invoice PDFs collected for the selected filters.

The invoices.csv file includes the supplier, invoice number, and file name for each invoice.

Limits and expiry

The Invoice Collection Report bulk download has the following limits:

  • 2,000 invoices per job: If your date range returns more than 2,000 invoices, split the download into smaller date ranges.
  • 21-day link expiry: Email download links expire 21 days after they're sent. After that, you'll need to run the bulk download again.
Note: Bulk download is available to Invoice Collection Service (ICS) customers.
