A schedule in Perk emails a saved template (a saved set of report fields and filters) to the people you choose, on a recurring cadence. Use this article to create a schedule, choose how often Perk sends it, and find, edit, or delete the schedules you've set up.
Note: Schedules are shared across your whole account. Any admin or analyst can see, edit, and delete any schedule, not only the ones they created. Each schedule uses exactly one template, and several schedules can use the same template. You can't create a schedule without a template, so create one first. For more information, see Save and reuse custom report templates.
Create a schedule
A schedule in Perk sends one template to one or more recipients on the cadence you choose. In this example, you create a schedule named "Monday hotel spend" that sends a hotel spend template to a finance colleague every Monday.
- Go to Analyze > Travel reporting > Reports and schedules, then select the Schedules tab.
- Select Create schedule.
- In Details, enter a Name (up to 128 characters), for example "Monday hotel spend". Names must be unique among the schedules on your account.
- Optionally, enter a Description (up to 256 characters). Then select a Template and a Format, either CSV or Excel.
- In Recurrence, select a Frequency. For the example, select Weekly and leave Day of the week set to Monday.
- In Recipients, select one or more people. For the example, select your finance colleague.
- Complete the last step to create the schedule. Perk shows "Schedule created." and the schedule appears in the Schedules tab.
Note: You can choose only active Perk users on your account as recipients. Perk can't send schedules to outside email addresses. If a recipient becomes inactive, Perk skips them. If you haven't created any templates yet, the Schedules tab shows Create template instead of Create schedule. To go back to the list at any point, select All schedules.
Choose how often Perk sends a report
Schedules in Perk send a report daily, weekly, monthly, or quarterly, and the Frequency you select in the Recurrence step decides which day Perk sends it.
| Frequency | What you choose | When Perk sends it |
|---|---|---|
| Daily | Nothing else | Every day |
| Weekly | Day of the week (Monday is the default) | Once a week, on the day you choose |
| Monthly | Day of the week (Monday is the default) | Once a month, on the day you choose |
| Quarterly | Nothing else | On the 1st of January, April, July, and October |
For monthly schedules, if you choose day 29, 30, or 31, Perk sends the report on the last day of the month in months with fewer days.
You choose the day a schedule is sent, not the time of day.
Date range in a scheduled report
A schedule in Perk doesn't have its own date range. It uses the relative date range saved in the template, for example the last 7 days, counted from the day Perk sends the report.
Note: Templates don't support custom date periods, so a scheduled report always uses a relative date range.
What recipients get
Perk sends each recipient of a schedule an email with a temporary download link, not an attachment. The link opens a Perk page that starts the download right away, and the page has a Download file button in case the download doesn't start.
Recipients need to be signed in to Perk on the correct account. They don't need reporting permissions. The link and the file expire after 7 days. If Perk can't generate a report, Perk doesn't send an error email.

Find a schedule
The Schedules tab in Perk lists every schedule on your account, with the title, a description under it ("No description" if you left it empty), the template, the recipients, the format, and the recurrence.
To find a schedule, use any of these options:
- Enter a word in Search schedule title or description.
- Use the Template filter to show schedules that use a specific template.
- Use the Recipients filter to show schedules sent to a specific person.
To remove your filters, select Clear filters. If nothing matches, Perk shows "No matching schedules". Try a different search term or adjust your filters.
Edit a schedule
You can change the details, recurrence, or recipients of a schedule in Perk at any time.
- Go to Analyze > Travel reporting > Reports and schedules, then select the Schedules tab.
- Select the schedule, or open its options menu and select Edit schedule.
- Next to the section you want to change, select Edit: Edit details, Edit recurrence, or Edit recipients. The Recurrence section shows the next send date as "Next send".
- Make your changes, then select Save. Perk shows "Schedule updated."
To leave without saving, select Cancel. To change the fields or filters a schedule sends, open its options menu and select Edit template instead.
Delete a schedule
Deleting a schedule in Perk stops Perk from sending it to its recipients.
- Go to Analyze > Travel reporting > Reports and schedules, then select the Schedules tab.
- Open the options menu for the schedule and select Delete.
- In the Delete schedule window, select Delete. Perk shows "Schedule deleted."
Caution: You can't undo deleting a schedule. Schedules also can't be paused or resumed, so deleting is the only way to stop one. If you delete a template, Perk also deletes every schedule that uses it.
