Add a trip to your calendar using an ICS file

An ICS file is a calendar file saved in a universal calendar format that can be used in different calendar applications.

Account admins and travel managers have access to trips for other travelers and can download the ICS file and upload it to any calendar. 

To add an individual trip to your calendar, you first need to download the trip’s ICS file and then import the file into your calendar.

Tip: To have your trips automatically synced with your calendar, enable the Perk integrations for Google Calendar or Microsoft Outlook Calendar integration on Perk. You can also add all company trips to a Google or Microsoft Outlook Admin calendar.

Download an ICS file

There are two ways to download an ICS file:

Download the ICS file from the Trips page

  1. Go to Travel > Trips.
  2. Find the trip and click the name.
  3. Under Keep track of travel plans, click Download ICS.
  4. Follow the import instructions below.

Downloading the ICS file from the trip’s confirmation email

Booking confirmation emails from Perk come with an attached ICS file that contains all bookings for that trip.

  1. Go to your email inbox and find the trip’s confirmation email.
  2. At the bottom of the email, find the attached invite.ics file and click Download.
  3. Follow the import instructions below.

Import an ICS file to your Calendar

Once you have downloaded the ICS file for your trip, you need to import it into your calendar. 

Google Calendar

  1. Open Google Calendar and in the top right, click the cog icon, then Settings.
  2. In the menu on the left, click Import & Export.
  3. Click Select file from your computer and select the file you downloaded, which ends with .ics.
  4. Select the calendar to which you want to add the imported events. By default, events are imported into your primary calendar.
  5. Click Import.

 

Microsoft Outlook

  1. Open Outlook calendar and click Add calendar.
  2. Select Upload from file and select the file you downloaded, which ends with .ics.
  3. Select the calendar to which you want to add the imported events. By default, events are imported into your primary calendar.
  4. Click Import

Note: Opening or double-clicking the attachment won’t work on some versions of Outlook, and you need to follow the steps listed above.
