Manage Perk lodge cards

Travel spend processor can perform this task.

In Perk, you can access and manage your Perk lodge card details, adjust settings, add the card to payment profile, and view and match lodge card transactions with expenses.

Manage the access card number, expiry date, and CVV

The card number, expiry date, and CVV can only be accessed by the person who created the card. If the person who created the card leaves the company, see What to do if you can’t access your lodge card credentials.

It is recommended you create a separate user account just for the travel spend processor, rather than assigning the role to an existing person. The process ensures that card details are handled safely and comply with security standards, protecting your payment information:

  1. Go to Cards > Lodge cards.
  2. Select your company and the bank account.
  3. To access the card number and additional information, click on the Actions icon.

Warning: The card number (PAN) and CVV must be stored securely and should never be shared through insecure channels, such as unencrypted emails or written notes.

If you need to use the Perk lodge card in another travel management platform or booking system, to securely transfer the card details to a PCI/DSS-compliant website, use the copy/paste function.

Manage the card controls and card settings

Perk offers you different options to secure your card against any unauthorized payments:

Terminate card

If you have lost the lodge card credentials (or the person who created it has left), you can terminate the card to stop all transactions from happening on your lodge card. Terminated cards are permanently blocked from any payment. If you decide that you need to use a lodge card again, you must create a new one.

Freeze card

You can freeze your lodge card to temporarily pause new transactions from happening on your lodge card, in case you‘ve misplaced your card or don‘t anticipate having any expenses for a while. A card freeze is a convenient way to prevent your card from being used without needing to report it as lost or stolen.

Spending limits

When you create your lodge card initially, you determine a daily and monthly spend limit. However you can adjust these limits at any time. The maximum spending limit is determined by your Perk Card contract.

Add a lodge card to the payment profile

To add a lodge card to the travel booking system, you can either copy/paste the card number or manually enter it into the payment profile.

This securely links the card to the system, ensuring smooth transactions while maintaining PCI/DSS compliance. When copying/pasting, make the transfer through a secure, PCI-compliant website.

Manage lodge card transactions

To access all transactions performed with your Perk Card (lodge company card), double-click on the card once you have selected the company and bank account.

At the top of the page, you can see the last four digits of the card number, the account balance, and the pending and available amounts depending on your spending limits.

The Transactions tab shows cleared transactions, while the Pending transactions tab displays any transactions pending authorization. You can filter the transaction list by Period (transaction date) or Status (e.g. Matched or Not matched).

Lodge card transactions are handled like corporate card transactions, linking each transaction to the corresponding travel expense. For more details on how to manually match transactions, see Match company card transactions (the information describes the corporate cards, but it also applies to lodge cards).

You can download a list of all transactions for the period by clicking Download as CSV.
