Specialist finance roles

Only available for Premium and Pro accounts.

Specialist finance roles are for managers and people from your Finance team who need access to travel spend, invoices, and other financial data. There are different roles depending on the level of access and the different information required.

Analyst

This role is only available for Travel customers.

Analysts are responsible for managing your company’s travel spending, identifying patterns in spending, monitoring your company’s carbon footprint, and checking any cancellations, refunds, and vouchers from unused trips.

Analysts are usually part of your finance or accounting department, meaning they can also access invoices and billing documents from Perk and other vendors.

Analysts can’t:

  • Adjust invoice frequency.
  • Change the account pricing plan.
  • Set up or edit any company settings, such as payment profiles.
  • Add people to the account.

Finance reviewer

This role is only available for Spend customers.

Financial reviewers are responsible for managing the spend within your company before exporting it for posting. They approve expenditures either for reimbursement or paid with a company credit card. 

Financial reviewers can reject expenditure and update information such as amounts, cost objects, and tax information.

Financial reviewers can:

  • Review spend, such as approved expenses, card transactions, and invoices. 
  • Export spend, such as reviewed expenses, card transactions, and invoices to accounting or ERP system
  • View exported expenses, card transactions, and invoices in export logs.
  • Audit spend after payment, guaranteeing data flow to accounting system is complete including compliance, VAT, dates and taxable amounts.
  • Create spend analytics reports.
  • Revert individual expenses.
  • Cancel export in progress.
  • Force match between expenses and transaction.

Financial reviewers can’t:

  • Add people to the account
  • Manage trips for other people.
  • Adjust travel, spend (expense, card or invoice) or cost management settings.
  • Add or edit payment profiles.

Auditor

This role is only available for Spend customers.

The auditor role allows you to give access to external third parties to review financial records for compliance. Auditors are responsible for the independent review of exported financial data, including expenses and invoices. They can use this to ensure accuracy and compliance with internal policies and external regulations.

The auditor can verify that all payments are compliant, with a focus on validating VAT rates, taxable amounts, and ensuring dates and details on invoices match the corresponding payment records. 

It also allows third parties to perform a detailed review of your company’s financial spend to confirm its integrity and adherence to regulatory standards before it is fully integrated into the accounting system. The auditor can check exported data without having direct access to any raw data.

Auditors can:

  • View exported spend.
  • Review accuracy and compliance of spend exported to accounting system.

 

Auditors can’t

  • Edit any expenses or invoices to change information.
  • Access data from any company other than the ones specified for their role, if they are restricted to specific companies.

Invoice processor

This role is only available for Spend customers.

Invoice processors are responsible for managing invoices, checking that all data has been correctly captured from the digitized invoice, and coding all invoice line items to the corresponding GL account and cost object.

They can view purchase orders and goods receipts, checking that invoice line item amounts and quantities match the data given in the purchase documents, and flagging where there are any discrepancies. They can view supplier master data, checking that the information displayed on the invoice matches the known supplier data.

You can assign an invoice processor role for all companies in your account or for specific companies.

Invoice processors can:

  • Access all invoices  at any stage in the approval process: Draft, approval, review, export.
  • Monitor invoice across their journey in Perk.
  • Edit and code the content of any invoice.
  • Submit invoices for approval and send them back to the submitter (recall them).
  • Reject invoices or send them back for correction to the supplier.
  • View all rejected invoices.
  • Import and view supplier data, and define specific settings for each supplier in Perk.
  • View purchase orders and goods receipts, and monitor line item matching with the corresponding invoices.

Invoice processors can’t:

  • Change invoice settings, payment terms, invoice business rules, and invoice categories.
  • Review or export invoices to third-party systems.
  • Manage invoice integrations.
  • View invoice analytics and reporting.
