Manage your company's Perk Cards

This article applies to Perk Cards only.

In Cards > Team cards, you can gain insights about your company's Perk Card usage, as well as manage individual cards where you need to change the setup after ordering the card.

Managing your team's card account

Card admins can perform this task.

These settings apply to your company's card account as a whole — balance, funding, addresses, notifications, and the list of cards themselves.

Account balance and funding

After selecting your company in the Company dropdown list and specifying the Bank account, you see three balances: Available (what you can spend now), Balance (the total in the account), and Reservations (amounts blocked by merchants or not yet cleared). Click Add money to view the IBAN, BIC/SWIFT code, institution, and account holder name for the account associated with your cards. Find a card

The Perk cards tab lists every card in the account in a table — card name and type, cardholder, creation date, limit and limit period, available amount, and status. Filter the list by Card type, Status, Limit period, or Limit amount, or search by owner or cardholder name. Each row's ⋮ menu gives you Freeze card, Report lost or stolen card, Manage spending settings, and Terminate card — you don't need to open the cardholder's page for these.

Order cards

As a card admin, you can order new cards when they're required.

Card requests

The Card requests tab on the Team cards page lists card requests submitted by employees that are waiting on your decision. See Approve or reject Perk Card requests to review and act on them.

Company addresses

Company addresses used for shipping physical cards and for statements are set up at Settings > Account > Addresses, not on this page. To learn more, see Set up the addresses for your Perk Card account.

Notification setup

Click Manage low balance alert (in the ⋮ menu) to get notified before your account balance runs low. Set the balance threshold under Notify when balance is below, and choose the Email recipients who should be notified — only card admins can be selected.

Statements

Click Download statements (in the ⋮ menu) to reach the Statements page, where you can download a monthly PDF or CSV statement or a daily CAMT.053 statement from the Daily statements and Monthly statements tabs.

Archived cards

Here you can find a list of all cards that have been terminated 30 days ago or longer and that don't have any open transactions. These cards have the status Terminated.

Card statuses

Next to each card, the Status of the card is visible. Possible card statuses are:

Status Description
Draft The order process for this card has been initiated but it is not yet activated.
Active This card is active.
Frozen This card had been temporarily frozen.
Expired The card's spending period has ended (applies to cards using a fixed budget). Any remaining balance is returned to the company account, and the card is archived after 14 days.
Terminated This card has been permanently terminated.
Note: Cards that have been terminated for more than 30 days and that have no unmatched transactions are automatically moved to the Archived cards tab.

Managing an individual card

Click a card in the Team cards list to open its page. Every card belonging to that cardholder appears as a tab across the top, labeled with the card type, last four digits, and status — for example, Frozen, Expired, or Needs activation; active cards show no suffix. Click Order card at the top of the page to start a new order for this cardholder without going back to the Team cards list.

The selected card's tile shows its visual and three actions — Card info, Freeze (or Unfreeze), and History — see card history. Its ⋮ menu has more options: naming the card, reporting it as lost or stolen, and terminating it. The full card number, expiration date, and CVV aren't shown to admins — only the cardholder can view those. Next to the card, a summary shows the available balance, amount spent, amount pending, and the spending limit with its reset date, plus a Spending settings button to change them. Below that, a transaction list shows the card's activity. If a card was frozen automatically because of unmatched receipts, a banner here explains why — see Late receipt control.

Card settings

The Card name identifies the card in Perk. It's not sent to the card manufacturer or saved by the card provider — Perk handles it alone. The card name, by contrast, is the embossing name: the name Perk sends to the card manufacturer and prints on the physical card. Perk also shows this name on the card's visual.

Spending limits

Spending limits control how much a cardholder can spend on a virtual or physical card:

  • Limit frequency: Change the timeframe of the card's limit to monthly, weekly, or daily. It defaults to Monthly.
  • Fixed budget (virtual cards): A one-time amount that doesn't reset. Once the spending period ends, the card moves to Expired status and Perk returns any unspent balance to the company account.
  • Limit amount: Change the limit of the card. The limit has a maximum — see the maximum amounts by card type and currency.

For single-use cards, you can set the maximum amount allowed for a single transaction and automatically terminate the card on a specific date.

Late receipt control

Late receipt control automatically freezes a card when its cardholder falls behind on submitting receipts. See Automatically freeze a Perk Card when too many receipts are late to turn it on, or to exclude this card from it.

ATM withdrawals (physical cards)

ATM withdrawals can be turned on or off for physical Perk Cards. Turn the Enable ATM cash withdrawals option on or off to allow or prevent cardholders from withdrawing cash with their card. This option isn't available for virtual cards, since they can't be used at an ATM.

Merchant categories

Merchant categories limit which types of businesses a cardholder can spend with. A merchant category groups the goods or services a business provides. Perk lets you restrict purchases to these categories:

  • Accommodation
  • Airlines
  • Public transport
  • Taxis
  • Car rental
  • Fuel and charging stations
  • Parking and tolls
  • Food and drink
  • Groceries and supplies
  • Other

Perk declines any payment in a category that isn't on this list. Turn on all or just the categories you need.

Freeze card

Freezing a card temporarily stops new transactions on it. You can freeze and unfreeze a card at any time. Cardholders can also freeze their own cards. A card admin can always unfreeze a frozen card, and you can choose whether to let the cardholder unfreeze it themselves.

Report as lost or stolen

Reporting a card as lost or stolen flags the existing card number to prevent unauthorized transactions and issues a new card with a different number — Perk sends physical cards to your company address. Perk notifies the cardholder when you flag their card as lost or stolen. If the cardholder marks a card as lost or stolen instead, Perk notifies you as the card admin.

Terminate card

Terminating a card permanently stops new transactions on it. Only card admins can terminate a card; cardholders can report a card as lost or stolen.

Caution: Terminating a card is permanent — you can't undo it.

If an employee is leaving the company, select Terminate all cards belonging to this employee to terminate all their cards in one click. Perk shows how many cards belong to that cardholder before you confirm.
